Administration

Plans, AI usage and your data

Your plan and what it includes, asking for a plan change, seeing what AI work will cost before it starts, the sample workspace, and exporting your organisation's data.

Plan and data in the console (Organisation section) is where your organisation's plan lives. Everyone in your organisation can read it; an admin makes changes.

Your plan

The page shows your plan, its state (active, free trial, grace period, or stopped), and every plan to compare with: what each includes and its limits (projects, people, files, AI jobs at a time, connections). List prices appear there once Yavaren publishes them; until then the page says Pricing on request.

AI usage is separate from the plan. Work that runs on Yavaren's AI keys is reserved against your AI budget before it starts and is billed at the published model prices. Work on your own AI key is never charged by Yavaren. Some plans include a small monthly AI allowance; the plan card says how much.

Asking for a plan change

An admin chooses Upgrade, Downgrade, Cancel the plan or Reactivate, confirms what the change does, and sends it. Yavaren applies it. Where your organisation has self-service on, a downgrade or a cancel applies at once, and an upgrade applies at once only when your payment is confirmed. A change that is still waiting can be withdrawn.

Nothing is ever deleted by a plan change. After a downgrade, work in a module your plan no longer includes becomes read-only. A cancelled plan stops new work and keeps everything readable and exportable; reactivating restores it. Billing follows your WeCan subscription.

What AI work will cost, before it starts

Before handing a story to an engineer you can ask what one job would reserve from your AI budget, and whether it fits right now (GET /v1/ai/budget/estimate?assignment_id=<project>). Nothing is reserved or charged by asking. If it does not fit, it says which budget is short (this month, today, the project, or your own) so an admin can raise it or ask Yavaren for more. A job is settled at what it actually used, never more than its reservation's ceiling.

The sample workspace

Add the sample workspace (admins) creates example content you can try things on: two knowledge pages, two requirements and a board with an epic and three stories, all marked (sample). No AI runs and nothing is charged. It is added once; a module that is switched off is skipped and named. Hand one sample story to an engineer when you want to see real AI work; that is reserved against your AI budget like any other.

Exporting your data

Export our data (admins) downloads everything your organisation keeps in Yavaren as one JSON file: projects, work items, knowledge pages and their versions, requirements, jobs and their results, approvals, support tickets (without Yavaren's internal notes), AI budget reservations, upload scans and your audit log. Credentials are never included (connections hold secret names only). Uploaded files are listed with their name, size and fingerprint; download each from its page.

When something goes wrong

An error message from the server ends with a short support reference. Quote it when you contact support (Help › Support): it lets Yavaren find exactly what happened.
